SECTION 01

This Privacy Policy explains how Code Red Industrial Sourcing LLC ("Code Red," "we," "us") collects, uses, shares, and protects personal information through coderedsourcing.com, RFQ and contact forms, customer and administrative portals, quote and delivery-revision workflows, file and photo uploads, telephone calls and text messages to or from our business line, communications handled by our answering service, related email communications, and any other online page that links to this Policy.

Code Red is a business-to-business industrial sourcing company. Our website and services are intended for business and professional use, not for children or personal household purchasing.

SECTION 02

Information We Collect

Business contact information
Your name, company name, business email address, phone number, job title, and other information you submit when contacting us or requesting a quote.
RFQ and sourcing request information
Part numbers, manufacturer names, quantities, request urgency, required-by date or time, requested condition, series/revision or firmware details, alternate-part preferences, destination area, after-hours availability, contact preference, and other product or sourcing details you choose to provide. Request urgency and required-by information help us prioritize and evaluate the request; they are not a selected carrier service or guaranteed ship or delivery commitment.
Telephone call information
When you call our business line, we collect the phone number you call from, the date, time, and duration of the call, and the information you provide during the call, including your name, company, callsback number, part or order details, and the nature and urgency of your request. Calls to our business line are answered by Code Red personnel or by a third-party answering service acting on our behalf, and call details are recorded in written message and dispatch records. Calls may be monitored or recorded for quality, training, accuracy, and record-keeping purposes where permitted by applicable law. If you do not wish to be recorded, you may end the call and contact us by email instead.
Text message (SMS) information
If you exchange text messages with our business line, we collect your mobile number, message content, and the date and time of the messages. We use text messaging for order, quote, delivery, and service-related communications, and for responding to requests you initiate. We do not send unsolicited marketing or bulk promotional text messages to our business line contacts. Message and data rates may apply. You may opt out of non-essential messages at any time by replying STOP, or by contacting us; opting out of text messaging does not remove you from order-related communications sent by email or telephone.
Uploaded files and images
When you submit a request, you may choose to attach files such as part labels, nameplate photos, datasheets, wiring diagrams, or other images and documents. We collect and retain these files as part of your sourcing request and may use or share them as described in this Policy to evaluate or fulfill the request.
Shipping and delivery information
Destination, recipient name and contact, ship-to and billing addresses, dock or forklift availability, liftgate needs, receiving hours, appointments, gate codes, delivery instructions, requested delivery changes, carrier or service information, tracking details, delivery receipts, and related logistics records. We may collect an approximate destination during an RFQ and a full address when needed to estimate freight, prepare a quote, confirm a delivery plan, prevent fraud, or fulfill an approved order. Blind-ship requests may include information about your own customer or another designated recipient.
Communications and transaction records
Messages sent through our website or portals, telephone and text message records, quote versions and revision requests, approvals, order-related communications, invoice or payment status records, customer support communications, and similar business records.
Payment-related information
Payment method selection, billing contact, payment status, transaction identifiers, and limited payment metadata. Payment credentials are processed by our payment service providers. Code Red does not intentionally store full payment card numbers on its own servers. Any applicable processing charge is shown before approval of the selected payment method.
Website usage and technical information
IP address, device and browser information, pages viewed, referring URLs, time spent on pages, security logs, cookie identifiers, and similar analytics or diagnostic information.
Marketing preferences
Newsletter sign-up status, email preferences, text message preferences, and whether you have opted out of marketing communications.
Shipment-protection and claim information
Customer invoice value, tracking or bill-of-lading information, proof of delivery, delivery receipts, coverage and claim records, photographs of the shipment, item, labels, and packaging taken before pickup and at delivery, damage or shortage details, communications, and claim status information used to evaluate shipment protection, preserve evidence, and administer a carrier or insurance claim.

How We Use Information

  • Respond to RFQs, contact requests, telephone calls, text messages, and business inquiries.
  • Receive, classify, prioritize, and dispatch incoming calls and messages, including after-hours and urgent or line-down requests routed through our answering service.
  • Evaluate part availability, condition, sourcing lead time, requested timing, delivery feasibility, pricing, and sourcing risk, including reviewing any files or photos you provide.
  • Prepare, version, revise, and communicate quotes, confirmed delivery plans, sourcing options, and order-related updates.
  • Process transactions, deposits, payment confirmations, invoices, and related business administration.
  • Obtain freight information and arrange shipping, delivery, and fulfillment, including a requested blind shipment to the extent the applicable supplier and carrier can support it.
  • Improve website performance, user experience, security, and fraud prevention.
  • Maintain internal business records, resolve disputes, and enforce applicable terms.
  • Comply with legal, tax, accounting, regulatory, and law enforcement obligations.
  • Send marketing or business updates only where permitted by law and subject to your opt-out choices.
  • Evaluate and arrange shipment protection when appropriate for an order.
  • Document, submit, and administer carrier or shipment-insurance claims and related recovery efforts, including retaining photographs and packaging records as claim evidence.

Service providers
Website hosting, email, CRM, cloud storage, analytics, cybersecurity, payment processing, communications, and other vendors that help us operate our business.
Telephone answering and business communications providers
Our business telephone line is supported by a business phone and messaging platform and, at times, by a third-party live answering service that receives calls on our behalf, records the details of your request, and relays or escalates messages to Code Red personnel. These providers receive the caller information, message content, and dispatch records described in this Policy in order to deliver the service.
Suppliers and sourcing partners
Limited RFQ and delivery details — which may include part numbers, requested condition, destination area, timing requirements, and relevant photos or files you provided — may be shared when reasonably necessary to check availability, condition, warranty, sourcing lead time, pricing, or delivery feasibility. We aim to share only the information reasonably needed for the request. Where an order ships directly from a supplier to a designated recipient, the supplier receives the delivery address and recipient contact information required to prepare and release the shipment.
Independent test and inspection providers
If independent testing or inspection is included in a quote and approved, limited order information — such as the part and RFQ reference — may be shared with the applicable provider. Testing or inspection is separate from the carrier service and delivery speed.
Shipping, logistics, and payment partners
Information necessary to obtain freight information, process a transaction, arrange delivery, verify payment status, or support order fulfillment — including ship-to address, receiving requirements, and recipient details provided to carriers, freight brokers, logistics providers, and, when applicable, suppliers shipping directly to the designated recipient.
Professional advisers
Attorneys, accountants, insurers, consultants, and similar advisers when needed for legitimate business purposes.
Legal and safety disclosures
Government authorities, courts, law enforcement, or other parties when required by law or reasonably necessary to protect rights, safety, security, or prevent fraud.
Business transfers
Information may be disclosed in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar corporate transaction, subject to appropriate safeguards.
Carriers, freight brokers, insurers, and claim administrators
Information reasonably necessary to arrange shipment protection or administer a loss, damage, or shortage claim, which may include invoice value, addresses, recipient details, tracking or bill-of-lading information, delivery receipts, photographs, packaging records, and communications.
SECTION 06

Blind Shipping and Shipping Documents

Where a blind shipment is requested, confirmed for a transaction, and supported by the applicable supplier and carrier, Code Red may be identified on shipping labels or freight documents in place of supplier or recipient company names to the extent operationally available.

Carriers require accurate physical pickup and delivery addresses in order to route, deliver, and obtain proof of delivery for a shipment. Those addresses, and the recipient contact name needed to complete delivery, therefore appear on carrier documentation and may be visible to the parties handling the shipment. Code Red does not represent that a carrier can conceal a required pickup or delivery address.

Where confidentiality between a supplier and a recipient is important to you, that protection is addressed through our written agreements and non-circumvention terms rather than through carrier documentation.

SECTION 07

Sale or Sharing of Personal Information

Code Red does not sell personal information for money.

Whether certain advertising, analytics, or tracking disclosures count as a "sale," "sharing," targeted advertising, or similar regulated activity under a specific privacy law depends on the law and the technology actually used. If Code Red engages in practices that trigger those obligations, we will provide the legally required notice and opt-out mechanism.

SECTION 08

Data Retention

We retain personal information — including uploaded files, photos, call and message records, and shipping records — for as long as reasonably necessary to fulfill the purposes described in this Policy, including responding to requests, administering quotes and transactions, maintaining sourcing records, preserving shipment and claim evidence, meeting tax and accounting requirements, resolving disputes, protecting against fraud, and complying with law.

Retention periods may vary based on the type of record, the nature of the relationship, and applicable legal, accounting, insurance, carrier, and business requirements. Shipment, claim, return, and tax-related records are retained for the periods reasonably necessary to satisfy those requirements. When information is no longer reasonably needed, we may delete, de-identify, or securely archive it as appropriate.

Security

We use reasonable administrative, technical, and organizational measures designed to protect personal information against unauthorized access, loss, misuse, or alteration. Depending on the system and the nature of the information, these measures may include access controls, multi-factor authentication where available, security logging, reputable service providers, and backup or recovery procedures.

No website, database, or transmission method can be guaranteed to be completely secure, and Code Red cannot and does not guarantee that personal information will never be accessed, disclosed, altered, or destroyed by a breach of any of our physical, technical, or managerial safeguards. You may opt out of non-essential text messages by replying STOP to any message from our business line or by contacting us. Order-related and service-related communications may continue by email or telephone.

You may request that we update or correct business contact information that you previously provided.

Depending on where you reside and whether the applicable law applies to Code Red, you may have rights to request access to personal information, correction, deletion, portability, restriction or objection to certain processing, opt-out of targeted advertising or certain data disclosures, or appeal a denial of a privacy request.

Where applicable law requires recognition of legally valid browser-based opt-out preference signals, Code Red will address those signals as required by law.
